Polling triggers

How the "New email", "New row" and other "New …" triggers check an app for new items, and what they do on the first check.

A polling trigger starts a workflow when something new appears in an app: a new email, a new row, a new issue. AWFlow runs in your browser and has no server to receive notifications, so it checks the app on a timer and remembers what it has already seen.

Trigger Starts a run when… Needs
New feed item a blog or RSS/Atom feed has a new item nothing
New email an email arrives in Gmail (inbox, a label or a search) a Gmail connection
New issue or pull request an issue or pull request is opened or updated a GitHub connection
New row rows are added at the bottom of a Google Sheet a Google Sheets connection
New or updated page a page is added to, or edited in, a Notion database a Notion connection
New Linear issue an issue is created in Linear a Linear connection
  • Only while the workflow is On, and only in the browser extension Extension.
  • Every Check every minutes: 5 by default, at least 1, at most 24 hours (1,440 minutes).
  • A check that finds nothing new starts no run, so it doesn’t fill your Runs list.
  • A check that finds new items starts one run with all of them, oldest first. At most 100 items per check; the rest come with the next check.

On the first check decides what happens with the items already there when you turn the workflow On:

  • Skip what’s already there (default): nothing runs now. Only items that arrive later start runs.
  • Start with the latest: one run with the newest items, as many as How many to start with (3 by default, at most 20).

The trigger’s settings show a status line, for example Last checked 2 min ago · nothing new · next 10:35, … · 2 new · …, or Last check failed … · retrying at …. Check now (in the extension) checks at once.

Press Run (or Run step on the trigger) to fetch a test event: the trigger reads the latest items, as many as How many to start with, so you can build the next steps with real data. A test event doesn’t move the trigger’s position: the next real check still starts from where it was.

The trigger remembers what it has seen in the workflow’s stored data: you see it as a read-only row on the canvas Stored data tab. Reset on that row forgets the position; the next check then behaves like a first check.

When the app can’t be reached or the connection stops working, the trigger waits longer before the next check (twice as long each time, up to 60 minutes). The third failure in a row is recorded as one failed run, so an Error Trigger and your notifications see it. The first check that works again resets the wait.

  • For a feed, a 15- or 30-minute interval is plenty, and kinder to the site.
  • Combine a polling trigger with If or Filter to act only on some items.
  • A deleted row in Google Sheets doesn’t replay old rows: the trigger starts again from the new bottom, with a warning.
